Applicable Law & Privacy Officer
Industry Suites 906 Inc. (hereinafter referred to as “Industry Suites”) collects, uses, and discloses personal information in accordance with the Personal Information Protection and Electronic Documents Act (Canada) (“PIPEDA”) and other applicable privacy legislation.
Industry Suites has designated a Privacy Officer who is accountable for the Corporation’s compliance with PIPEDA and this Privacy Policy. Privacy-related inquiries, access requests, correction requests, and complaints may be directed to our Privacy Officer whose contact information can be found below under the “Contact Us” heading.
Information we collect and why
For the purposes of this Privacy Policy, “Visitor” means any individual who accesses or uses the Industry Suites website or submits an inquiry, tour booking, or reservation request. “Licensee” means any individual or business entity that has been granted, or is in the process of obtaining, a licence to access and use a suite within the Industry Suites facility pursuant to a Licence Agreement with Industry Suites. References in this Privacy Policy to “you” apply to both Visitors and Licensees as the context requires.
We collect personal information only for legitimate business purposes and only to the extent necessary for those purposes. The categories of information we collect and the purpose of each are as follows:
- Contact and Identity Information (full name, email address, phone number, business name): collected to respond to inquiries, schedule tours, process reservations, and manage the Licensee relationship.
- Professional Information (occupation, service type, professional licences, regulatory college membership): collected to confirm eligibility to operate from our facility and to verify regulatory standing where applicable.
- Government-Issued Identification: collected during onboarding for identity verification purposes only. ID numbers are not retained beyond the verification process. Physical copies or scans of government ID are stored securely and destroyed in accordance with our retention schedule.
- Insurance Documentation: collected to confirm compliance with insurance requirements as a condition of occupancy.
- Payment and Billing Information: collected to process deposits, Licence fees, and other payments. Payment card information is processed through our third-party payment processor and is not stored by Industry Suites.
- Social Media Handles: collected only if voluntarily provided, for community and marketing purposes.
- Website Usage Information (IP address, browser type, device information, interactions): collected automatically to improve website performance and user experience. See our Cookies and Analytics section for further detail.
- Marketing Preferences: collected to manage communication preferences and comply with Canada’s Anti-Spam Legislation (CASL).
How we use your information
Your information may be used to:
- Respond to inquiries
- Schedule tours
- Process suite reservations
- Complete onboarding
- Prepare Licence Agreements
- Manage Licensee communications
- Process payments and deposits
- Improve our services and website
- Send updates, announcements, and marketing communications
- Maintain operational and legal compliance
We only collect information necessary for legitimate business purposes.
Health information
Industry Suites does not collect personal health information about Licensees’ clients. Licensees who are regulated health professionals are solely responsible for complying with the Personal Health Information Protection Act, 2004 (Ontario) (“PHIPA”) and any other applicable health privacy legislation in respect of their clients’ personal health information. Industry Suites does not act as a health information custodian and does not have access to or control over any client health information held by Licensees operating within its facilities.
If a Licensee shares health-related information about a client with Industry Suites in the course of an inquiry or complaint, such information will be treated as confidential and will not be used for any purpose other than addressing the specific matter raised.
Marketing communications
By submitting your information, you may receive updates related to:
- Suite availability
- Founding member opportunities
- Promotions
- Facility updates
- Events and announcements
You may unsubscribe from marketing communications at any time. Operational communications related to active bookings or agreements may still be sent.
Canada’s Anti-Spam Legislation (CASL)
Industry Suites complies with Canada’s Anti-Spam Legislation (CASL). Commercial electronic messages will be sent to you only where we have obtained your express or implied consent in accordance with CASL.
Implied consent arises where you have submitted an inquiry, booked a tour, reserved a suite, or otherwise initiated a business relationship with Industry Suites within the period permitted under CASL.
You may withdraw your consent to receive marketing communications at any time by clicking the unsubscribe link in any marketing email or by contacting us directly. Withdrawal of consent does not affect the lawfulness of communications sent prior to the withdrawal, and Industry Suites may continue to send you operational or transactional communications related to an active booking, reservation, or Licence Agreement.
Information sharing and cross-border transfers
We do not sell your personal information. We may share personal information with trusted third-party service providers who assist us in operating our business, including payment processors, CRM platforms, booking and scheduling software, legal professionals, insurance verification providers, and building operations teams. These providers are authorized to use your information only as necessary to provide services to Industry Suites.
Some of our third-party service providers may be located outside Canada, including in the United States. Where personal information is transferred to a foreign jurisdiction, it may be subject to the laws of that jurisdiction, which may differ from Canadian privacy laws. By using our website and services, you acknowledge and consent to the transfer of your personal information to our service providers in other jurisdictions as described in this Policy. We take reasonable contractual steps to ensure that third-party providers protect your personal information in a manner consistent with our obligations under PIPEDA.
Data security
We take reasonable steps to protect your personal information using secure systems and operational safeguards. However, no online transmission or storage method is completely secure, and we cannot guarantee absolute security.
Data breach notification
In the event of a breach of security safeguards involving personal information under our control, Industry Suites will assess whether the breach creates a real risk of significant harm to affected individuals. Where such a risk exists, we will:
- notify the Office of the Privacy Commissioner of Canada as required under PIPEDA;
- notify affected individuals as soon as feasible; and
- maintain a record of all breaches of security safeguards in accordance with our obligations under PIPEDA.
Notifications will describe the nature of the breach, the information involved, the steps taken to mitigate harm, and the steps affected individuals can take to protect themselves.
Data retention
We retain personal information only as long as necessary for the purposes for which it was collected, in accordance with the following general schedule:
- Inquiry and tour booking data: retained for 12 months from the date of last contact, after which it is securely deleted or anonymized unless a further business relationship has commenced.
- Onboarding records, identity verification, and Licence Agreement documentation: retained for 7 years following the end of the Licensee relationship, in accordance with applicable legal and tax obligations.
- Payment records and financial information: retained for 7 years in accordance with the requirements of the Income Tax Act (Canada) and applicable provincial tax legislation.
- Insurance documentation: retained for the duration of the Licence Agreement and for 2 years thereafter.
- Marketing and communication preferences: retained until consent is withdrawn or the record is otherwise no longer needed.
When personal information is no longer required, it will be securely destroyed or anonymized.
Your rights
You may request to:
- Access your personal information
- Correct inaccurate information
- Request deletion where legally permitted
- Withdraw consent for marketing communications
Requests may be submitted by contacting our Privacy Officer directly. Certain information may be retained where required by law or contractual obligations.
Cookies and analytics
Our website uses cookies and analytics tools to improve functionality, measure performance, and understand visitor behaviour. These may include tools such as Google Analytics and Meta Pixel, among others.
These tools may collect information such as your IP address, browser type, pages visited, time spent on pages, and referral sources. Some of this information may be processed and stored on servers located outside Canada, including in the United States, in accordance with the privacy policies of the applicable third-party providers.
You may disable cookies through your browser settings at any time. Disabling cookies may affect certain website functionality.
You may opt out of Google Analytics data collection by using the Google Analytics Opt-out Browser Add-on available at tools.google.com/dlpage/gaoptout.
Third-party platforms
Our website may integrate with booking software, payment systems, CRM tools, social media platforms, embedded forms, and external scheduling services. These third parties operate under their own privacy policies.
Industry Suites is not responsible for the privacy practices of third-party platforms. We encourage you to review the privacy policies of any third-party services you use in connection with Industry Suites.
Policy updates
This Privacy Policy may be updated periodically. Changes will be posted on this page with revised effective dates. Continued use of the website constitutes acceptance of updates.
